Terms & Conditions

Coffee Origins travel Ltd is a limited company incorporated in England, trading as Coffee Origins Travel. Coffee Origins Travel is a tour operator specialized in the coffee culture road trips and excursions within the key coffee region as well as unique coffee cities. Our business operates in and out of the United Kingdom (UK).

 

Please read the terms and conditions. This document is the basis of our contract with you. By accepting our terms and conditions through booking, we assume that you have read these terms and conditions and you agree with them. As we can accept your order and make a legally enforceable agreement without further reference to you, you must read these terms and conditions to make sure that they contain all that you want and nothing that you are not happy with. Application

  • These Terms and Conditions will apply to the purchase of the services or goods by you (the Customer or you). We are COFFEE ORIGINS TRAVEL LTD whose trading name is COFFEE ORIGINS TRAVEL a company registered in England and Wales under number 10339768 whose registered office is at 86-90, Paul Street, United Kingdom, EC2A 4NE with email address contact@coffeeoriginstravel.com; telephone number 07403544653; (the Supplier or us or we).

  • These are the terms on which we sell all travel packages to you. By ordering any of the travel packages you agree to be bound by these Terms and Conditions. Before placing an order on the Website, you will be asked to agree to these Terms and Conditions by clicking on the button marked ‘I Accept’. If you do not click on the button, you will not be able to complete your Order. You can only purchase the travel package from the Website if you are eligible to enter into a contract and are at least 18 years old.

 

Interpretation

  • Consumer means an individual acting for purposes which are wholly or mainly outside his or her trade, business, craft or profession;

  • Contract means the legally-binding agreement between you and us for the supply of the travel package

  • Travel package means the core travel tour advertised on the Website that we organize.

  • Order means the Customer’s order for the travel package from us as submitted following the step by step process set out on the Website;

  • Privacy Policy means the terms which set out how we will deal with confidential and personal information received from you via the Website;

  • Website means our website www.coffeeoriginstravel.com on which the travel packages are advertised.

 

Travel Packages

  • The description of the Travel package is as set out in the Website, catalogs, brochures or other form of advertisement. Any description is for illustrative purposes only.

  • All Travel packages which appear on the Website are subject to availability. The travel tours are subject to availability, political and environmental situation of the country traveled.

  • We can make changes to the Travel packages which are necessary to comply with any applicable law or safety requirement. We will notify you of these changes.

Personal information

  • We retain and use all information strictly under the Privacy Policy. For us to process the booking and organize your travel in the best conditions, we need to use the information you provide such as name, address, any special needs/dietary requirements etc.

  • We may contact you by using e-mail or other electronic communication methods.

  • As the travel supplier, we take full responsibility for ensuring that proper security measures are in place to protect your information. We must pass the information on to the relevant suppliers of your travel arrangements such as your tour operator, airlines, hotels, transport companies etc. The information may also be provided to security or credit checking companies, public authorities such as customs/immigration if required by them, or as required by law.

 

Basis of Sale

  • When an Order has been submitted on the Website, we can reject it for any reason, although we will try to tell you the reason without delay.

  • The Order process is set out on the Website. Each step allows you to check and amend any errors before submitting the Order. It is your responsibility to check that you have used the ordering process correctly.

  • A Contract will be formed for the sale of Travel packages ordered only when you receive an email from us confirming the Order (Order Confirmation). You must ensure that the Order Confirmation is complete and accurate and inform us immediately of any errors. We are not responsible for any inaccuracies in the Order placed by you. You will receive the Order Confirmation within a maximum of 48 hours after the Travel packages payment authorization.

  • Any quotation is valid for a maximum period of 1 day from its date, unless we expressly withdraw it at an earlier time.

 

Price and Payment

  • The price of the Travel packages and any additional delivery or other charges is that set out on the Website at the date of the Order or such other price as we may agree in writing. In case of any modification in our prices to those set out, we will notify you prior to accepting your booking. All our prices are quoted in GBP £ Sterling.

  • Prices and charges include VAT at the rate applicable at the time of the Order.

  • Bookings are made in two times. First the Deposit is paid via the website as the order submission. Once this deposit/payment has been received, we will make the reservations necessary to confirm your holiday and send you a confirmation invoice. A contract will then exist. Please ensure you have read our booking conditions and general information as these form the basis of this agreement. 

  • You must pay by submitting your credit or debit card details with your Order and we can take payment immediately.

  • Regarding the deposit payment, the outstanding balance needs to be payed within the next 1 month from the purchase of the deposit unless the Tour, Roadtrip is scheduled 2 months from the payment of the deposit. In this case, the full payment is mandatory

  • We guarantee the price of your holiday stated in our booking confirmation. We may however pass on to you certain additional charges resulting from increased transportation costs (including the cost of fuel), dues, taxes, landing taxes or embarkation or disembarkation fees at ports and airports or fluctuations in the exchange rate. We will not pass on any such charges occurring within 30 days of your scheduled date of departure nor which would result in an increase of less than 2% in the total cost of your holiday.

 

Brochure and website content

  • COFFEE ORIGINS TRAVEL takes full responsibility to deliver the accuracy of the information included in our advertisement means and on our website. However, we want to warn our customer that our content is subject to change, often due to the actions of our suppliers (e.g. Coffee shops schedule, airlines, hotels, activity providers, car hire companies etc). In any case, we are entitled to notify you of any change known to us and affecting your holiday as soon as we are notified by our Suppliers.

 

Travel insurance

  • It is a booking condition of package travel regulations that you have adequate travel insurance. Passengers must take out travel insurance and details of our special facilities are available. Neither we nor any of our Agents or Servants shall be liable or responsible for any loss, damage, and injury. Delay or inconvenience whatsoever to any traveler or his luggage or other personal property sustained or suffered in, or during, any passage, journey, trip or stay, or in respect of any accommodation or in the carrying out of any arrangements booked through us.

  • Appropriate travel insurance is compulsory to participate in this tour. Evidence of travel insurance policy with the following minimum criteria will be requested ahead of the trip:

    • Overseas medical and dental expenses;

    • Coverage of USD 200,000 for repatriation and 24-hour emergency assistance/rescue;

    • Personal liability;

    • Pre-trip cancellation, trip interruption and travel delay; and

    • Loss of baggage and personal effects.

 

Immigration

  • Valid passport, visa and any other immigration requirements to travel to all of the destinations on the itinerary have to be verified by the customer. We accept no responsibility for the inability to travel due to non-compliance with these immigration requirements.

 

Health and Safety Requirement

  • It is also your responsibility to ensure you seek advice from a medical professional to see if any vaccinations are required, as well as awareness of any health related precautions when travelling to the countries listed on your itinerary.

 

Withdrawal and cancellation

  • Refund will be processed in accordance with the cancellation rights against payments received. Your refund request will be answered and processed as soon as possible. If you do not receive a reply within one business day, please contact our office. We are not be responsible if emails fail to reach us.
  • Some our holiday packages are non-refundable and this will be clearly stated on the offer.

  • You can cancel the Contract except for any Travel packages which are made to your special requirements by telling us no later than 30 calendar days prior to the date of departure set out in the Product ordered. Then we must without delay refund to you the price for those Travel packages which have been paid for in advance, but we can retain any separate delivery charge.

    • The cancellation refunds listed here will apply to all reservations, unless the service booked has exceptions which will be identified on the itinerary. Amount of cancellation refund shown as a percentage of the booking price.

      • Less than 30 days – 0%

      • 31-60 days – 50%

      • 61-90 days – 80%

      • More than 91 days - 100%

    • These Cancellation Rights, however, do not apply, to a contract for the following Travel packages (with no others) in the following circumstances:

      • Travel packages that are made to your specifications or are clearly personalized;

  • To exercise the right to cancel, you must inform us of your decision to cancel this Contract by a clear statement setting out your decision (e.g. a letter sent by post, fax or email). In any event, you must be able to show clear evidence of when the cancellation was made. You can use the model cancellation form presented to you at the end of this document.

 

Timing of reimbursement

  • We will make the reimbursement without undue delay, and not later than 30 days after the day we receive your cancellation notice

  • We will make the reimbursement using the same means of payment as you used for the initial transaction, unless you have expressly agreed otherwise; in any event, you will not incur any fees as a result of the reimbursement.

 

Conformity and Guarantee

  • We have a legal duty to supply the Travel packages in conformity with the Contract, and will not have conformed if it does not meet the following obligation.

  • Upon delivery, the Travel packages will:

    • Match the description of the itinerary

  • We will provide the following after-sales service: Coffee Origins Travel will support the customer in any issues happening during the trip. Coffee Origins Travel is also 24/7 available for any information inquiry about the health and safety of their customers.

 

Dealing with complaints

  • If you have any issue during your holiday, please immediately inform the relevant supplier whose service is involved (e.g. coffee shop owner, hotelier, etc…) and our local representative (or if none, Coffee Origins Travel), who will endeavor to fix the problem. If you wish to complain and the issue cannot be resolved locally, please provide us full details within 28 days of your return giving your booking reference and all other relevant information. It is strongly recommended that you communicate any complaint to the supplier of the services as well as to our representative without delay and complete a report form while on holiday. If you fail to follow this simple procedure we will have been deprived of the opportunity to investigate and rectify your complaint whilst you were on holiday and this may affect your rights under this contract resulting in reduced or no compensation if any was merited.

 

Ownership of content

  • Coffee Origins Travel owns all intellectual property rights in the Website and its content unless otherwise stated. You may not publish, distribute, extract, re-utilize, or reproduce any part of the Website or its content in any form other than as expressly allowed or as permitted on the Site or under UK law. The Site and its content are for your personal, non-commercial use only, and are not for re-distribution, transfer, assignment or sub-license or for any commercial or partly-commercial re-sale or other use.

 

Governing law, jurisdiction and complaints

    • The Contract (including any non-contractual matters) is governed by the law of England and Wales.

    • Disputes can be submitted to the jurisdiction of the courts of England and Wales or, where the Customer lives in Scotland or Northern Ireland, in the courts of respectively Scotland or Northern Ireland.

    • We try to avoid any dispute, so we deal with complaints in the following way: If a dispute occurs customers should contact us to find a solution. We will aim to respond with an appropriate solution within 3 business days.

 

Updates

  • Our Terms & Conditions are updated from time to time. The terms and conditions which will apply to your holiday are those on our website at the time of booking. There may be additional terms and conditions which apply to our special offers, promotions and discounts from time to time. These will be notified to you at the time of booking should you inform us that you would like to take advantage of them
